The owner wanted to start a trading business from nothing and asked for the whole thing turnkey: from what to sell and on what, to working systems. The starting point was therefore not the improvement of an existing firm, but the decisions such a firm begins with: the range of goods, the sales channel, the systems and the vendors to talk to. Retail sales were to run online, so from the first day the records of the goods, the carrier, the payments and the documents were all in play. Only on those decisions could anything technical be built.
The owner had a list of vendors and products; for every product I gathered what was missing — competitors' prices, free photos, descriptions — and out of that came the product data base. Plus a market analysis aimed at the workflows of this particular trade, because the owner was entering trade for the first time.
EffectThe firm entered the market with a finished product base and a grasp of how this trade works.
I collected and wrote down the business needs, settled the budget and the requirements, and only out of that followed which systems were needed and which vendors to talk to.
EffectThe firm bought only the systems that followed from its own processes.
I built an online shop in three languages, and over 500 products together with their records and management went into an ERP system set up in the cloud.
EffectShop, goods, delivery, payments, notifications and documents work inside one system.
Integration with DHL; payments: the bank and Stripe, where the payment vendors had to be chosen for the category of goods.
EffectThe order goes to the carrier and the payment comes back into the system with nothing retyped.
Automatic e-mail notifications at every step of the order: taken, paid, dispatched.
EffectThe customer knows where the order stands and nobody has to write it by hand.
Automatic purchase documents with suppliers and document generation inside the ERP.
EffectDocuments are created in the system along with the operation, not in a spreadsheet afterwards.
I documented the internal processes in the system itself, and I trained and instructed the staff in how to use it.
EffectThe staff work to procedures written down in the system rather than kept in someone's head.
A firm that had nothing got an implementation from beginning to end. Goods, orders, delivery, payment and documents run through one system. Over 500 products are managed in the ERP, the shop works in three languages, purchase documents are created automatically and notifications to the customer go out by themselves. The staff are trained and instructed in how to use it all. Thanks to automation planned from the first day, the system is optimised well enough that no extra people had to be hired to run it.
